Use this form to record the outcome of an instrument-access review. Create one record for each handoff station and operating configuration, and complete it with the instrument, tooling, platform and scheduling interface owners. Send the marked drawing, completed record and open-item list together so the next reviewer can identify the same configuration.
Attach a marked drawing where available. Give every dimension a reference and unit. Identify photographs as context unless dimensions have been independently established. If the transfer uses a drawer or movable fixture, state the position in which the information applies.

Use the record in a joint review
First reconcile the drawing and configuration references. Then review approach, placement, release and withdrawal for the loaded object and intended tool against controlled drawings or an agreed verification setup. Record each unresolved condition against the affected stage. A general “access checked” note is difficult to revisit after a fixture or labware change.
Keep physical dimensions alongside the handoff positioning requirements. Review the hardware interface boundary separately for readiness and completion information.
Reference example: Opentrons labware definitions include dimensions and gripper offsets for Opentrons configurations. They do not establish compatibility with a LabCarry platform.
Close the review with a usable decision
Classify the result so the next team knows whether the layout can advance, evidence is missing, or the hardware interface must change.
| Decision | When it applies | Required output |
|---|---|---|
| Proceed to layout review | The controlled configuration is identified, and no open item can invalidate the approach, placement, release or withdrawal decision. | Record the reviewed revision, assumptions and remaining non-blocking actions. |
| Hold for evidence | A missing drawing, dimension, representative sample or signal definition could change the hardware decision. | Name the missing evidence, its owner, due date and the decision it blocks. |
| Return for interface change | A known conflict exists in the access geometry, loaded-tool envelope, fixture support or required station signal. | Identify the affected hardware or interface item and the revision required before review resumes. |
State the limits of any simulator: it may represent geometry while leaving instrument timing or communications untested.
Include the resulting actions in the hardware FAT preparation. For an initial project discussion, send the non-confidential scope first and agree a suitable route for restricted drawings.
